To create budgets from Google Sheets to QuickBooks Online, you must be logged into your QuickBooks account. G-Accon uses the QuickBooks Online API to handle all budget operations securely and reliably.

 


 


Export Budgets to Establish Template Structure

Before creating new budgets, export existing budget data from QuickBooks to understand the correct structure and fields. This is a one-time setup process.

  • Go to Extensions โ†’ G-Accon for QuickBooks โ†’ Budgets โ†’ Create/Modify Budgets


Create a New Budget

Configure your budget by setting the fiscal year, reporting interval, and consolidation format. Pre-fill with GL actuals or use an existing budget template.

After clicking Create a New Budget, you will see a configuration prompt with the following fields. Fill in each field to define your budget structure:

Name: Enter a descriptive name for the budget (e.g., "2024 Operating Budget" or "2024 Capital Budget"). This identifier appears in QuickBooks budget reports and variance analyses.

Year: Select the fiscal year for budget planning. This determines the accounting period and synchronizes budget forecasts with your company's fiscal year-end cycle.

Interval: Set the budget interval for reporting periods: Monthly (detailed period-by-period tracking), Quarterly (aligned with quarterly financial reporting), or Yearly (annual consolidated budget).

Format: Select Consolidated for a company-wide budget view across all accounts, or Subdivided to segment budgets by cost centers, profit centers, locations, or customer accounts for detailed P&L analysis.


Pre-Fill Data

Apply filters to narrow down the actual data for each template.

Actuals Filter

Actual Data year โ€” Select the prior fiscal year or accounting period whose actuals will populate the budget. This historical GL data serves as the baseline for budget variance analysis and forecasting.

Classes, Locations, Customers โ€” Apply optional accounting dimensions to segment budgets by cost center, profit center, business unit, or customer for multi-level budget control and variance reporting by dimension.

Budgets Filter

Select budget list โ€” Choose an existing budget from QuickBooks to use as a template. This enables budget roll-forward by copying prior-period account structures and allocations into the current budget.
